Dedicated Client Email Response: A new, streamlined business email response system will be implemented for each client profile, ensuring both Kaelyn and the business owner are always CC’d, allowing seamless communication between all parties involved.
Email-Only Communication Moving Forward: To ensure efficient and organized responses, all future inquiries and communication must be directed through email. This will help us serve you more effectively and provide you with the attention you deserve.
Social Media Auto-Response: Our social media will feature an automated response that directs all inquiries to the appropriate email address, along with the essential information you’ll need to easily book with the artist.
Uninterrupted, Transparent Communication: Kaelyn and our clients will have full access to open communication throughout the entire process. Any questions will be answered to the best of our ability, and if there’s something that requires further clarification, we’ll consult with the business before providing a detailed response. We’re committed to keeping everything clear and hassle-free!
Contracts
Booking Process Follow-Up: When a client expresses interest in booking, the artist’s contract will be sent to them. A follow-up email will be sent one week later if there’s no response, helping to expedite the booking process.
Contract Management: Once a contract is signed, a copy will be provided to the artist, and Kaelyn will log all contracts for each business to ensure proper bookkeeping and organization.
Booking Weddings
Shared Calendar for Booking Details: After the contract is signed, Kaelyn will add the wedding date, time, and location to a shared Google Calendar, accessible by both Kaelyn and the business, ensuring everyone stays informed.
Trial Date Coordination: A trial date will be scheduled following the booking. It’s recommended that each business designate specific days each month for trials, allowing for multiple trials to be scheduled at once and creating a more efficient booking process. These trial days can be individually marked on the shared calendar.
Scheduling Assistants
Artist Selection Process: After a booking is made, and depending on the size of the wedding and each artist’s comfort level, Kaelyn will review a list of artists who have previously collaborated with the business and select the best fit for the event.
Artist Request Details: The selected artist will receive a request that includes the wedding date, time, location, and an estimated number of services to be provided.
Backup Artist Options: If none of the business's regular contacts are available, Kaelyn will provide a list of other suitable artists who can be selected to assist. Alternatively, the business can allow the bride to find a second artist to cover any overflow of services.
Pre-Wedding Check In
One-Month Reminder: One month before the wedding, an email will be sent to the bride to allow for any updates or questions, ensuring everything is on track.
One-Week Final Details: One week prior to the wedding, detailed schedules will be sent to the bride and all artists involved, along with reminders on the day’s timeline and preparations.
Post-Wedding Check In
Post-Wedding Follow-Up: One week after the wedding, an email will be sent to the bride to thank them and provide details on where they can leave a review.
Photo Gallery Request: One month after the wedding, Kaelyn will reach out to the photographer to request the photo gallery once it's ready for sharing.
Multi Location Services
Flexible Booking Locations: The business owner can be booked at one location, while their lead artist and team are sent to a second location, allowing the business to handle multiple bookings simultaneously under one name.
